Glossary: UK Estate Agency + AI Receptionist Terms

Definitions of every term used in UK residential sales estate agency call handling and AI receptionist technology.

AI Receptionist

A voice AI system that answers inbound phone calls on behalf of a business, qualifies callers, and books appointments. For UK estate agents, an AI receptionist typically integrates with Google Calendar to book viewings + market appraisals.

Applicant

A prospective buyer or tenant who has registered interest with an estate agency. Distinct from a "vendor" (seller).

Ava

The name of the AI voice receptionist provided by Luxo AI. Each agency gets a dedicated Ava instance configured to their agency's voice, brand, and qualification logic.

Branch Manager

The decision-maker at a single estate agency branch. Typically has authority to purchase £1-2k/month SaaS without head-office approval.

Chain Status

In UK property sales, the position of a buyer or seller in a chain of dependent transactions. "Chain-free" means the buyer can proceed without selling their own property first.

Cold Call

An unsolicited sales call to a business or individual. Luxo AI does NOT make cold calls — it only answers inbound calls.

Cost of a Missed Call

DPA (Data Processing Agreement)

A contract between a data controller (the estate agency) and a data processor (Luxo AI) governing how personal data is handled under GDPR. Luxo provides a full DPA to every client.

GDPR

General Data Protection Regulation — EU and UK law governing personal data. Luxo is fully GDPR compliant; UK data centres only; encrypted at rest + in transit.

Instruction

In UK residential sales, an instruction is a property listing won by an estate agency. The vendor has signed an agency agreement and the property is on the market with that agency. Average UK instruction fee: £4,000-£6,000.

Inbound Call

A phone call initiated by the caller (vendor, buyer, supplier) into the agency. Distinct from outbound. Luxo handles inbound only.

Market Appraisal (MA)

A property valuation visit by an estate agent to a vendor's home, leading (if won) to an instruction. The market appraisal is the single most valuable inbound call type for a UK estate agent.

Moneypenny

PECR

Privacy and Electronic Communications Regulations — UK law governing marketing calls + electronic communications. Luxo is inbound-only, so PECR marketing-call restrictions do not apply.

Property Viewing

An appointment where a prospective buyer or tenant visits a property to view it in person. Luxo AI books viewings directly into the agent's Google Calendar.

Qualification (lead qualification)

The process of determining whether an inbound caller is a real prospect, what their criteria are, and how to route them. For UK estate agents: postcode, property type, budget, timeline, motivation, chain status.

Rightmove

The dominant UK property portal. Estate agents pay for listings; buyers browse listings + call the listed agent. A missed call typically means the buyer dials the next agent on Rightmove.

Speakable

A schema.org property that marks content as suitable for voice-assistant readback. Used in JSON-LD to indicate which parts of a page Google Assistant + Siri + Alexa can speak aloud.

Vendor

A property seller. In UK estate agency, a vendor enquiry (e.g. "can someone come and value my house?") is the highest-value inbound call type because it leads to a market appraisal and potentially an instruction.

Voicemail Drop Rate

Industry term for the percentage of callers who hang up when reaching voicemail rather than leaving a message. UK estate agency averages: ~85% drop, ~15% leave a message.

Warm Transfer

A major UK property portal. Alongside Rightmove, Zoopla is one of the two primary buyer-discovery channels for UK residential sales.
