The fear is fair — most tools deserve it
When an estate agent asks us this, they're not really asking about software. They're asking: will this thing embarrass me in front of a vendor? A double-booked market appraisal isn't a technical glitch — it's a stranger standing on a doorstep while your negotiator is three miles away. One of those and the vendor rings the next agent on Rightmove.
Most AI phone tools handle bookings by asking the AI nicely to check the calendar. That works until it doesn't — an AI following instructions can be talked out of them by a persistent caller, or simply make a mistake under pressure. So we built it differently: Ava physically cannot confirm a booking the system hasn't verified.
How Luxo actually prevents double-booking
- Live calendar check. Before Ava offers a slot, Luxo queries your real Google Calendar — including a window either side of the requested time, so appointments adjacent to the slot are seen too.
- The slot is reserved while confirming. The moment a slot passes the checks, Luxo places a short hold on it. If another caller — on a different phone line, at the same second — asks for an overlapping time, the system refuses the second hold automatically. One caller gets the slot; Ava offers the other the next free time. No polite fiction, no race condition.
- Your rules are enforced, not suggested. Opening hours, working days, UK bank holidays, one-off closures, appointment length, and the gap between viewings are all checked by the booking system on every single request. Ava can't be sweet-talked past them, because they aren't hers to waive.
- Nothing lingers on failure. If a booking fails halfway — network blip, calendar hiccup — the hold expires on its own and any partial entry is cleaned up. Your diary stays true.

Frequently asked questions
What happens if two callers ask for the same viewing slot at the same time?
One gets it, one is offered the next free time. When Ava is about to confirm a slot, Luxo places a temporary reservation on it. If a second caller requests an overlapping time — even one that only partially overlaps — the system refuses the second reservation automatically, and Ava offers that caller an alternative. This happens at the database level, so two simultaneous calls physically cannot both book the same window.
Does the AI check my real calendar or its own copy?
Your real Google Calendar, live, on every booking attempt. Luxo queries your calendar's actual free/busy status at the moment of booking — not a synced copy that could be minutes stale. If your negotiator just dropped a valuation into the diary from their phone, Ava sees it before offering the slot.
Can it book appointments back-to-back with no travel time?
Only if you want it to. Every agency sets a buffer — typically 15 minutes — and Luxo enforces the gap on both sides of every existing appointment. A caller asking for 10:30 when you have a viewing ending at 10:30 will be offered the next slot that respects your buffer.
What if the booking fails halfway through?
Nothing lingers. If anything goes wrong between Ava proposing the slot and the booking being confirmed, the temporary reservation expires automatically and any partial calendar entry is removed. Your diary never ends up with ghost appointments.
Can Ava book outside my opening hours?
No. Working days, opening hours, bank holidays, and one-off closures (a team offsite, a Christmas Eve half-day) are all enforced by the booking system. A caller asking for Sunday 9pm gets offered Monday morning instead — automatically.
